Hiring an in-house bookkeeper in the US is expensive and slow, and it doesn't scale well. Many US small and mid-sized businesses outsource their bookkeeping and accounting to firms in India instead, and get accurate monthly books, faster closes and a dedicated accountant for much less than a local hire. When the setup is rushed, though, the result is messy ledgers and slow back-and-forth.
This guide covers how outsourcing US bookkeeping to India works, what to hand over and what to keep, and how to set it up so the first month goes smoothly.
Why US businesses outsource accounting to India
Cost is the obvious reason. Labor in India costs a fraction of what it does in the US, so the budget that buys a few hours a month from a local generalist can pay for a full-time, dedicated accountant.
The talent pool is large. India produces many commerce graduates and accounting professionals every year, and plenty of them work daily with US GAAP, QuickBooks, Xero and NetSuite.
Time zones help too. India Standard Time is about 9.5 to 10.5 hours ahead of US Eastern time, so work you send at the end of your day can be reconciled by the next morning. And you can start with a few hours a month and move to a full-time accountant as volume grows, without recruiting or running payroll yourself.
What you can outsource
Most recurring, process-driven finance work can be done remotely:
- Daily bookkeeping and general ledger maintenance
- Bank and credit-card reconciliations
- Accounts payable: entering, coding and scheduling vendor bills
- Accounts receivable: invoicing, payment tracking and collections follow-up
- Month-end close and journal entries
- Monthly and quarterly financial statements, including the P&L, balance sheet and cash-flow summary
- Catch-up and clean-up of books that have fallen behind
- ERP support, such as NetSuite saved searches, reports and workflow improvements
What should stay with your US CPA
Your federal and state tax returns should still be reviewed and signed by a US CPA or Enrolled Agent. An offshore team works best alongside them: it keeps clean, reconciled, tax-ready books all year, so your CPA spends less billable time fixing records and more on tax planning.
How the engagement typically works
- Start with a scoping call covering your software, monthly transaction volume, entities and reporting deadlines.
- Give the team user-level access to your accounting software and bank feeds. Each person gets their own login with multi-factor authentication, and nobody shares passwords.
- Write down your chart of accounts, coding rules, approval limits and close checklist so the process doesn't depend on anyone's memory.
- If the books are behind, bring the historical reconciliations up to date first.
- Then settle into a monthly rhythm: daily or weekly bookkeeping, a fixed close date, and the same reporting pack every month.
Protecting your financial data
Data security is the concern US owners raise most, and it's a fair one. Before you sign, check that the provider:
- Signs an NDA and a clear service agreement
- Works inside your systems with individual, role-based logins instead of downloading data to personal devices
- Uses multi-factor authentication and limits who can approve or release payments
- Assigns a named, dedicated accountant to your books
Common mistakes to avoid
Picking the cheapest hourly rate often gets you shared capacity and high staff turnover, and continuity is worth more than a few dollars an hour. Skipping written procedures causes trouble too: if coding rules live only in your head, errors follow, so document them in the first week.
Agree on a fixed monthly close date and on what the reporting pack contains. And make sure the team already works in your platform, whether that's QuickBooks, Xero, NetSuite, Sage or Dynamics 365 Business Central.
